everything about working with Realtime Studio
Booking Terms
On this page you will find the key information about booking a session, organizing the recording, payment, late arrivals, cancellations and other terms of cooperation. The goal is for every project to be clearly defined in advance, so the recording runs professionally, efficiently and without unnecessary complications.
How do I book a recording session?
To book a session, choose your preferred set in the booking form, select a date and time, and fill in your personal details. After you send your request, we will contact you to confirm the session.
Is a cooperation agreement signed?
Yes. For work that includes multiple episodes, a podcast series or ongoing production, we sign a contract that defines the scope of services, number of recordings, production schedule, deadlines, payment terms and other terms of cooperation.
Do you work with individuals?
Yes. Realtime Studio works with individuals, sole proprietors, companies, organizations and brands. You can book the studio for a single show, interview or other one-off recording, as well as for a series or ongoing production.
Can I rent the studio for just one episode?
Yes. Studio and production packages are also available for one-off recordings, with no long-term commitment. If you are planning a series or a larger number of episodes, we can put together a dedicated production plan, recording schedule and terms tailored to the project.
How does payment work?
Payment is made under the terms agreed in the quote or contract. For companies, payment is usually made against a proforma invoice or an invoice, according to the agreed schedule – in advance, in stages or as part of a contracted package of episodes.
Is an advance payment required?
An advance payment may be required to book a session or start working together, especially for series, multiple episodes or productions that require additional preparation. The exact amount and payment deadline are defined in the quote or contract.
What happens if the client is late for the recording?
Late arrival of the client or participants does not automatically extend the booked session. Recording time is counted from the agreed start of the session, as the studio, equipment and team have to be reserved in advance. If the schedule allows, the session can be extended by prior arrangement.
How early should I arrive at the studio?
We recommend that participants arrive at least 10 to 15 minutes before recording starts. This time is important for preparation, positioning, mic checks, basic technical setup and agreeing on the flow of the recording.
What if the session needs to be rescheduled?
Sessions can be rescheduled with timely notice, subject to studio availability. We recommend announcing any change as early as possible so that a suitable new date can be found without affecting the planned production schedule.
What is the cancellation deadline?
The cancellation deadline is defined in the offer or contract. In practice, cancellations should be announced far enough in advance for the studio to reorganize its schedule. Late cancellations may be treated as a used session, especially if the studio has already been prepared for the recording.
What happens if a client cancels a session at the last minute?
In the event of a cancellation immediately before the recording, we reserve the right to charge for the session in full or in part, depending on the agreed terms of cooperation. This applies in particular to sessions already blocked in the schedule, as well as to productions that required additional preparation.
Can the number of participants be changed before the recording?
Yes, the number of participants can be changed with prior notice. It is important that the studio knows in time how many people will take part in the recording, so the right seating, microphones, cameras, framing and technical setup can be prepared.
Do I need to submit the show topic in advance?
We recommend sending the topic, the basic flow of the show and any special notes before the recording. This allows us to better prepare the space, shots, lighting and technical setup, so the recording runs efficiently and professionally.
Does the client receive the raw footage?
Delivery of raw footage depends on the agreed package and terms of cooperation. If raw footage is part of the agreed service, it is delivered in the specified format and timeframe. Otherwise, the final edited material is delivered as agreed.
What is the delivery time for the recorded material?
Delivery time depends on the scope of production, episode length, number of cameras, level of editing and any additional requests. The standard timeline is defined in advance in the offer or contract, so the client has a clear plan for publishing and next steps.
Do you offer editing and post-production?
Yes, depending on the agreed package, we can cover editing, audio post-production, color correction, graphics, subtitles, intro and outro sequences, as well as preparing material for social media or other distribution channels.
Can the client request changes after editing?
Yes, changes are possible within the agreed number of revisions. Major changes beyond the original agreement, concept changes or additional requests after the edit is finished may be charged separately.
Can we record outside business hours?
Recording outside standard hours is possible by prior arrangement, subject to the availability of the studio and the production team. Such sessions may be defined and charged separately, depending on the scope and timing.
Who is responsible for preparing the show content?
The client is responsible for the topic, speakers, questions, script and content of the show, unless otherwise agreed. Realtime Studio provides technical and production support and, if needed, we can help prepare the format, show flow and visual concept.
Can the client bring their own equipment?
The client may bring additional equipment, props, products or branded elements, but must notify us in advance. This allows us to check whether the additional equipment fits the technical setup, the space and the recording plan.
Does Realtime Studio publish episodes on behalf of the client?
Publishing episodes on platforms, social media or a website can be part of an additional service if agreed in advance. Otherwise, the client receives the prepared material and uses it independently on their own communication channels.
Can the recorded material be used for promotional purposes?
The recorded material belongs to the client in accordance with the agreed terms of cooperation. Realtime Studio may use certain shots, photos or parts of the recording for promotional purposes only if this has been agreed in advance or approved by the client.
Can I bring an audience or additional people?
Additional people may attend only with prior notice and approval. Due to space, organizational and technical constraints, only people who are part of the agreed production or have a clear role during the recording may be present in the studio.
Can food and drinks be brought into the studio?
Food and drinks may be brought in only in agreed areas of the space and must be handled with care. To protect the equipment, set design and technical elements, food and drinks are not allowed near cameras, microphones, lighting or other professional equipment.
What happens if the equipment or the space is damaged?
The client is responsible for any damage caused by the negligence of participants, guests or other persons they bring to the studio. Any damage to equipment, interior, set design or additional elements may be charged separately according to the damage incurred.
Are prices fixed or do they depend on the project?
Prices depend on the type of collaboration, number of episodes, recording length, scope of editing, number of cameras, additional services and preparation required. Custom packages and terms can be arranged for series and long-term collaboration.
